Operations Manager

Salary: £27,000 pro rata

Hours 22.5 hours per week

Location Bristol: homeworking and office at 9-10 King Street

Job description

We are looking for an organised and resourceful Operations Manager to help Transform achieve its exciting ambitions. We are a small, but highly effective, charity with an international reach. You will help ensure that our internal operations run as efficiently as possible, as well as supporting our day-to-day relationships with strategic partners, funders and volunteers. This job is an opportunity to support real change on a vital social issue, working with a dynamic and highly commitment team.

You will:

Oversee the operation of office functions

  • Support the development of effective project management systems
  • Support the smooth functioning of our IT infrastructure
  • Liaise with suppliers and contractors, ensuring we get best value for services
  • Ensure our policies and procedures are up to date and promote a positive working environment
  • Monitor and respond to emails, creating an efficient communications environment
  • Oversee our sales of merchandise

Manage supporter and partner contacts

  • Support the senior team in identifying and developing relationships with funders
  • Ensure current and potential donor engagement is regular, constructive and effectively monitored
  • Work with colleagues to manage our network of activists and volunteers
  • Ensure we have an efficient and effective database of contacts
  • Ensure work with external agencies is managed efficiently and to deadlines

Reporting, recording and evaluation

  • Help ensure internal and external reports are produced on time and effectively disseminated
  • Help ensure reports to funders are delivered on time
  • Ensure grants and donations are monitored and recorded and that gift aid is claimed
Skills, experience and approach to work

As a small organisation, all staff play an equal role in achieving our goals and your input will be vital to our success. Taking a proactive and creative approach to problem-solving, you will play a key role in driving our work forward.


  • Experience in office administration and / or project management
  • Ability to develop and maintain databases
  • Experience liaising with external agencies to manage contracts or delivery of services
  • Organised and proactive – willing to drive activity and take the initiative
  • Strong interpersonal skills


  • Project management skills, including use of packages such as Trello, Asana or similar
  • Experience supporting fundraising or grant development
  • Understanding of basic charity governance, system and structures
  • Experience working with volunteers individually or as a network
  • Understanding of basic data compliance (GDPR)
